What Information Do We Collect?

We collect information from you (1) when you register for our Service (2) during the normal course of using the Service and (3) when you initiate communication with us.

  • Service Usage Data: Voxjar collects data necessary to provide the Service, including:

    • Company call recordings
    • Company employee names (if provided by the customer for analysis purposes)
    • Company phone numbers (if provided by the customer for analysis purposes)
    • Any information users upload into Voxjar's system.
  • Website Usage Data: We collect data about your interaction with our website using analytics tools. This data may include your IP address, browser type, referring pages, and pages visited. We may also use cookies and similar technologies. See the "Cookies" section below for more details.
  • Initiate Communication: We collect name, email, company data, etc when you enter data in those fields when using our Contact-Us form, requesting a demo, or communicating with us in other ways.

You may choose to withhold some information, but this might limit your ability to use certain features of the Service.

How Do We Use Your Information?

We use the information we collect to:
  • Set up and maintain your account.
  • Personalize your experience.
  • Improve customer service and respond to inquiries.
  • Send emails regarding order processing, company news, updates, and related information. You can unsubscribe from marketing emails at any time by following the instructions in the email.

Data Sharing

  • Large Language Model (LLM) and Automatic Speech Recognition (ASR) Providers: We use third-party LLM and ASR providers to perform transcription and analysis services. These providers are carefully selected, adhere to strict security and data protection standards, are contractually obligated to protect the confidentiality and security of your data.
  • Other Service Providers: We may share personal data with service providers who assist us with functions like data storage and website analytics. These providers are contractually obligated to protect the confidentiality and security of your data.
  • Payment Processors: We use Stripe to process payments. We do not store your credit card details. Stripe's privacy policy governs their handling of your payment information. See "Third-Party Payment Processing" below for more details.

Data Storage and Security
 
Data is stored in the United States using secure cloud storage providers like Amazon S3 and Google Cloud Storage. We implement appropriate technical and organizational measures to protect your personal data from unauthorized access, use, or disclosure.
All data is encrypted in transit and at rest.

Data Retention
 
We retain personal data only as long as necessary to fulfill the purposes for which it was collected and to comply with our legal obligations. Data retention periods are specified in our agreements with our customers.


GDPR Compliance (for EEA Residents)

This section applies if you are a resident of the European Economic Area (EEA). Voxjar acts as a data processor for our customers, who act as data controllers, and as a data controller for our website users. We process personal data from the EEA only as instructed by our customers. Our customers are responsible for ensuring they have a lawful basis for collecting and transferring this data to us. We have Data Processing Agreements (DPAs) in place with our customers to outline our respective responsibilities under GDPR. Our customers are also able to delete data themselves through our application or our APIs.

We use best practices to protect all of our website visitors' and customers' personal information. As an EEA Resident you have the following rights regarding your personal data:
 
  • Access: You have the right to access the personal data we hold about you.
  • Rectification: You have the right to have inaccurate personal data rectified.
  • Erasure: You have the right to request the erasure of your personal data under certain circumstances.
  • Restriction of Processing: You have the right to restrict the processing of your personal data under certain circumstances.
  • Data Portability: You have the right to receive your personal data in a structured, commonly used, and machine-readable format and to transmit that data to another controller.
  • Object to Processing: You have the right to object to the processing of your personal data under certain circumstances.

Third-Party Payment Processing
 
We partner with Stripe to process payments. For details about Stripe's security and privacy practices, please visit Stripe's Security Page and Stripe's Privacy Policy.

Google User Data (if applicable)
 
Our application integrates with Gmail to access and process email content, subject lines, sender and recipient information, and dates. Access is opt-in only. We store the necessary Gmail data for as long as you have an account with us. You can delete your data or request a data purge via our support channels. Google Workspace APIs are not used for training generalized AI/ML models.

Cookies

Non-Personal Information (including aggregate, technical, or demographic information) can also be collected through the standard operation of our internet servers and logs as well as other automatic data collection tools such as “cookies” and other similar technologies.

A “cookie” is a small text file that is recorded either temporarily or persistently on your hard drive and that a website can use in order to recognize visitors who revisit a website so as to facilitate their ongoing access to and use of the website.

Information we may collect through cookies and other similar technologies includes your browser type, language preference, operating system, referring website (if applicable), the name and type of device, the operating system of your device, your geographic location, the date and time of each user visit or request, the message boards or other discussion forums you visit, and the Voxjar service endpoints that you accessed or visited during your use of the Service.

We may gather the information we collect from each user and perform statistical analysis of the aggregated information, including analyses about the behavior of visitors to our website on an aggregated, anonymous basis. Any information we collect from you, or related parties (i.e., calendar invitees) through the use of cookies, web beacons and other technologies will not be shared with third parties for direct behavioral advertising or targeted advertising purposes.

You may prevent our use of cookies to collect Non-Personal information about you by adjusting the option that is available in most web browsers to deny or accept cookies. Recognize, however, that cookies may be necessary in order to provide certain features that are core to software experience, as well as the customized delivery of certain information.

Do We Disclose Information To Outside Parties?

We do not sell, trade, or otherwise transfer to outside parties your personally identifiable information. This does not include trusted third parties who assist us in operating our website, conducting our business, or servicing you, so long as those parties agree to keep this information confidential.

We may also release your information when we believe release is appropriate to comply with the law, enforce our site policies, or protect ours or other’s rights, property, or safety. However, non-personally identifiable visitor information may be provided to other parties for marketing, advertising, or other uses.

California Online Privacy Protection Act Compliance

Because we value your privacy we have taken the necessary precautions to be in compliance with the California Online Privacy Protection Act. We therefore will not distribute your personal information to outside parties without your consent.

Children's' Online Privacy Protection Act Compliance

We are in compliance with the requirements of COPPA (Childrens Online Privacy Protection Act), we do not knowingly collect any information from anyone under 13 years of age. Nor do we authorize children under 18 years of age to use our Service. Our website, products and services are all directed to people who are at least 13 years old or older.
